Executive Assistant and Board Liaison

Location: Currently a minimum of 2 days per week in the office – subject to change

Summary of Position

The Executive Assistant supports the Executive Director and Chief Advancement Officer. This person works closely with all members of NYRP’s senior leadership team and will serve as an institutional hub for communication, both internally and externally, maintaining key relationships, including NYRP’s Board of Trustees and Chairman’s Council.

Executive Assistant Responsibilities

  • Schedule meetings, activities and travel arrangements for the Executive Director; manage conflicting scheduling issues and unexpected changes.
  • Provide support to all Senior Staff members in the capacity of scheduling, filing, correspondence, etc.
  • Ensure the appropriate follow up is conducted relating to internal and external meetings.
  • Proactively prepare for meetings, including drafting agendas, research, backgrounds, visual presentations and talking points.
  • Assist with interdepartmental coordination and dissemination of information; develop strong communication strategies internally to ensure sufficient flow of information.
  • Draft correspondence for the Executive Director and Chief Advancement Officer.
  • Organize and maintain all filing relating to correspondence with the Executive Director and/or Founder and documents regarding the Board of Trustees or Chairman’s Council in the online database, Raiser’s Edge.
  • Manage executive office contact databases in Raiser’s Edge and Outlook.
  • Reconcile executive office credit cards and code and file invoices as necessary.
  • Perform additional administrative tasks including, but not limited to, filing, mailing, faxing, photocopying and phone coverage as needed.
  • Support on special projects as needed.

Board Liaison Responsibilities

  • Serve as primary staff liaison to NYRP’s Board of Trustees and Chairman’s Council for administrative, logistical and additional as-needed support.
  • Manage fundraising portfolio for Board of Trustees and Chairman’s Council.
  • Schedule, coordinate logistics for, and attend Board and Committee meetings; record minutes, prepare agendas and identify meeting participants, and collect and distribute meeting materials.
  • Track by-laws, guidelines, resolutions and other governing documents for NYRP and related companies.
  • Develop monthly reports for the Board of Trustees, Chairman’s Council, and staff.

Qualifications

  • Bachelor’s degree required. Ideal candidate will have one to two years of related experience assisting the chief executive of an organization and/or working in development.
  • Excellent written, verbal and interpersonal skills; positive, friendly and helpful demeanor.
  • Exceptional organizational skills.
  • Strong ability to multi-task and careful attention to detail.
  • Ability to work independently and take initiative.
  • Ability to handle sensitive and/or confidential information appropriately.
  • Fluency in the Microsoft Office suite; experience working in Raiser’s Edge and Adobe InDesign strongly preferred.
  • Some flexibility for weekend and evening work is required by all members of NYRP’s staff.
  • Interest in non-profit management, fundraising, and governance.
